Keys, a logbook and deadlines discovered too late
In many companies, the service vehicle passes from hand to hand with a logbook that is rarely filled in. The mission order is typed in Word, the mileage on return is never noted, and fuel receipts pile up without anyone working out consumption. A vehicle that burns too much is spotted after six months, if at all.
Deadlines are discovered at a police checkpoint: expired insurance, an overdue roadworthiness test, a driver's licence that has run out. And at year end there is no way to say what each vehicle really costs, or whether it is better to keep it or replace it.
Each vehicle, its driver, its missions and its real cost
A fleet vehicle is a record in the Almawarid Equipment register, with a kilometre meter: its maintenance, workshop visits and due dates already live there. You add your drivers, employees from the HR file or just a name for a temporary driver, with their licence and its expiry date, and you assign a driver to a vehicle: only one open assignment at a time, so you always know who is driving.
Each vehicle document (registration certificate, insurance, roadworthiness test, road tax sticker) is uploaded as a PDF or photo with its expiry date, and creates its own due date in the Equipment register. Fuel fills, mission departures and returns move the meter forward, never back, and consumption is calculated from one full tank to the next.
The fleet day to day, screen by screen
- Vehicles: the fleet list with each current driver, importable and exportable in Excel; on each record, the assignment, documents, fuel fills and average consumption in L/100 km.
- Mission orders: purpose, destination, dates, driver and starting mileage; the mission order prints on A4, is sent to the driver on WhatsApp, then is closed on return with kilometres and expenses.
- Fuel: each fill with its litres, amount, mileage and station; a partial fill is flagged, and consumption is read between two full tanks.
- Dashboard: open missions, the month's fuel, and licences and documents to renew within 30 days, with a weekly email summary if you want one.
- Costs: per vehicle over the chosen period: fuel, maintenance, documents, fines and accidents, kilometres driven and cost per kilometre, exportable to Excel.

Frequently asked questions
Does the module connect to a GPS tracker?
No. It does no geolocation or real-time tracking: kilometres come from the fills and missions you record.
How is fuel consumption calculated?
Using the full-to-full method: between two full fills with a known mileage, the litres poured divided by the kilometres driven, expressed per 100 km.
Are fines deducted from the driver's pay?
A fine can be marked “charged to the driver”: it then leaves the vehicle's cost. The deduction itself is decided and entered in payroll; the module does not create it on its own.
Who can see fleet costs?
The costs page and its exports require at least edit rights: a driver who views their missions in read-only mode does not see what the fleet costs.
Are accidents tracked?
Yes: date, place, third party involved, liability, amount of damage, insurance payout and claim number; the net cost goes into the vehicle's cost.
