How much do you really have this morning, between the shop drawer, the site cash box and the bank account? Cash moves around, and the trace gets lost

An Algerian small business runs largely on cash: counter takings, advances to the driver, diesel purchases, a supplier paid hand to hand. Money passes from pocket to pocket, and in the evening something is missing without anyone knowing where it went. The cash book, when there is one, is filled in afterwards, from memory.

At the bank it is the opposite: you wait for the statement to know what went through, and find out too late that a cheque has not cleared yet or that a transfer went out twice. In between, the manager decides which bills to pay by feel, without a reliable figure in front of him.

One cash box per drawer, one balance per currency, one trace per movement

In Almawarid, you create as many cash boxes as you have places where money sits: a cash drawer, a bank account with its RIB bank details, a branch cash box, a euro cash box. Each movement is a receipt, a payment out or a transfer to another cash box, with its date, counterpart, reference and, if you wish, a photo of the receipt. Each balance is calculated from these movements, currency by currency; a movement in foreign currency carries the day's rate.

The treasury also fills itself: a customer payment recorded on an invoice lands in the cash box of the person who collected it, and a supplier payment entered on a purchase order creates the outflow in the chosen cash box. Each employee only sees the cash boxes entrusted to him, and a cash box that carries movements cannot be deleted: it is deactivated.

A treasury day, in four screens

  1. My cash boxes: in the morning, the total of all your cash boxes by currency, the breakdown by branch, the latest movements and, opposite, what you still owe your suppliers.
  2. Collect, Pay out, Transfer: three buttons on each cash box; an expense can be charged to a site, and a payment out of 5,000 DA or more without a supporting document is flagged.
  3. Today's journal: the day's movements, total in and out, and the end-of-day balance, ready to print with a signature box.
  4. End-of-day cash count: in the evening, the opening balance plus receipts minus payments gives the expected balance; you count notes and coins with the tally, and any gap needs a reason before it is saved.

Frequently asked questions

Does the software forecast cash flow?

Not yet. The module shows real balances and movement history; a projection of upcoming receipts and payments is not developed. Meanwhile, the invoice collections screen and the supplier accounts show what should come in and go out.

Do shop till takings flow into the treasury?

Not automatically: the point-of-sale till has its own session closing, with its count and gap. What feeds the treasury on its own are payments recorded on invoices and supplier payments.

Can I track several currencies?

Yes: each cash box has a main currency and each movement its own currency, with the day's rate to the dinar. Balances are shown currency by currency.

Can an employee see every cash box?

No. The owner and administrators see everything; an employee only sees the cash boxes he holds or to which he has been added, read-only or with the right to record movements.

Can a movement or a cash box be deleted?

A movement can be deleted by someone with that right; a cash box that carries movements cannot be deleted, it is deactivated, so that its history stays intact.
