On inspection day you are asked for a book: the psychotropics book, the fridge temperature book, the cleaning book. Books filled in late that tell you nothing

In many Algerian pharmacies the psychotropics register is still kept by hand: every delivery from the wholesaler, every prescription dispensed, copied line by line, with the balance worked out in your head. One forgotten box or one skipped line, and the balance in the book no longer matches what is in the locked cabinet. On inspection day, you are the one explaining the gap.

Other businesses have other books: fridge temperatures in a restaurant or a minimarket, the treatment register of a livestock farm, the cleaning plan of a food workshop, safety incidents on a building site. They lie on a counter, get filled in at the end of the week to catch up, and nobody ever learns anything useful from them.

A register that fills itself from stock, and logs created in one click

For a pharmacy, you simply tick “Psychotropic / narcotic” on the product record. From then on, every stock entry and exit of that product is written into the psychotropics register automatically, with the batch number and a running balance carried over from the previous month. The stock movement is the reference for quantities: on each dispensing you only add the prescription number, the prescribing doctor and the patient.

For every other kind of log, the module is a configurable form. You create a register, add its columns (number, text, date, pick list, yes or no), set the unit and what is mandatory. Six ready-made templates create one in a click: animal or plant treatment register, HACCP temperature log, cleaning and disinfection, equipment maintenance, goods-in inspection, safety and incidents. Numeric columns are totalled and drawn as charts automatically.

How it works, in four screens

  1. Psychotropic / narcotic: one tick box on the product record: the product joins the register, and all its stock entries and exits are logged there with no retyping.
  2. Psychotropics register: you pick the month; each line shows the date, product, batch, entry or exit and balance. The “Annotate” button adds the prescription, doctor and patient, and “Print” produces the register on A4.
  3. Ready-made templates: you choose, for example, the temperature log: the register is created with its columns, which you then adapt to your premises.
  4. New entry: today's date is already filled in; the employee types the values and an optional note, from a computer or a phone.

Frequently asked questions

Does the psychotropics register replace the official one?

It carries the essential information: entries, exits, balance, batch, prescription, prescriber and patient, and it prints every month. The exact format expected during an inspection depends on the regulations in force: check it with the pharmacy inspectorate or your professional council.

Do I have to enter quantities twice?

No. Quantities come from stock movements: receipts, sales, adjustments. You only add the prescription, doctor and patient on dispensings.

Can I create a register that is not among the templates?

Yes: “New register”, a name, then the columns you need. Daily mortality, meter readings, counts or daily output can be set up in a few minutes.

Can custom registers be exported to Excel?

Not yet. They are viewed on screen with their totals and charts, but Excel export and a dedicated print layout are not available for them yet. The psychotropics register does print.

Will a minimarket see the psychotropics register?

No. It only appears for companies in the health sector, or for those that have already flagged a product as psychotropic. Everyone else sees only their own registers.
