A badly tracked purchase costs you three times: goods ordered but never received, boxes received but never entered into stock, and margins calculated on a purchase price nobody updated. The Almawarid Purchasing module runs the order, the receipt and the payment on the same document: stock goes in at the right moment, and your purchase cost follows every delivery.
The order pad, the crumpled delivery note and the invoice in the drawer
In many Algerian companies, a purchase lives in three pieces: the purchase order in a carbon pad, the supplier's delivery note left on the desk, the invoice in a drawer. When the goods arrive, someone has to retype everything into the stock, and that someone usually has other things to do. The stock on screen is wrong, and you reorder what you already have.
Prices follow the same path. The supplier has raised the price of a bag of cement or a tonne of flour, but the product record still shows the old one. You sell with a margin you think is healthy, calculated on a cost that no longer exists, and you only find out at year end, when it is too late to fix.
Order, receive, pay: one document that moves forward
In Almawarid, a supplier purchase order goes through four states: draft, confirmed, received, cancelled. Switching it to “Received” creates one stock entry per line, exactly once, even if two people click at the same time. An unknown item creates its product record on the way. And if you buy by the tonne, the bag or the roll but stock by the kilo or the square metre, the receipt converts both the quantity and the cost.
Each entry carries its unit cost, and the product's weighted average unit cost (CMUP, the method recommended by Algeria's SCF accounting framework) is recalculated at once. Your margins, your stock value and the cost price of what you manufacture rest on what you actually paid. Correcting an order that was already received does not rewrite history: only the difference goes in or out of stock, and it stays traced.
The four screens of a purchase
- New purchase order: you pick the supplier or create it on the spot, add lines with their VAT, the expected delivery date and, for a construction site, the related job; the order is numbered automatically and prints with your logo.
- Drop a supplier invoice or delivery note: you drop the photo or the PDF; a PDF received by email is read directly, a photo is read by artificial intelligence, then an assistant finds the supplier by tax number (NIF) or name and matches each line with your products.
- Confirm the import: nothing is saved before this button: you compare the recalculated total with the total read on the document, say whether the goods go into stock now, and the original document stays attached to the purchase.
- Supplier debts: each order accepts several payments, in cash, by transfer, cheque or CCP postal account; choosing a cash box creates the outflow in the treasury, and the screen groups what is left to pay by supplier.
What you gain
- Accurate stock from the loading bay. The receipt enters the goods when they arrive, and never twice.
- Margins on the real cost. The weighted average cost follows every delivery, with the purchase unit converted into the stock unit.
- Less typing. A supplier invoice in PDF or photo becomes a purchase after a few checks; 100 photo scans are free each month, or you add your own free Gemini key.
- No duplicate documents. An invoice number already imported for the same supplier is flagged before you confirm.
- Orders that prepare themselves. The Stock module's reorder list and manufacturing orders create draft purchase orders, grouped by the last known supplier.
Who is it for?
The Purchasing module serves any business that buys to resell, to produce or for its sites, and wants stock and purchase cost to follow without retyping. It runs online, on a computer or a phone, with an interface in French and Arabic.
- Wholesalers and distributors
- Hardware stores and building-material suppliers
- Workshops and small production units
- Construction companies buying for their sites
- Grocery stores and retailers
Frequently asked questions
Can I receive only part of an order?
Not yet. An order switches to “Received” in one go and all its lines enter stock. For a delivery in two parts, create two orders; partial receipts with back-orders are not developed.
Are invoices in euros accepted?
When you import an invoice or a delivery note, yes: you give the exchange rate and prices are converted into dinars on confirmation. A purchase order typed by hand is in dinars, and customs duties are not calculated.
How reliable is invoice reading?
The reading suggests, you decide: the assistant shows the total read and the recalculated total, flags any gap, and nothing is created before “Confirm the import”. A doubtful line can be corrected or ignored.
What happens if I correct an order already received?
Stock is corrected by the difference only, through a traced movement; the original receipt is kept.
Do I need an artificial-intelligence key?
Not for PDFs received by email, which are read directly. For photos, Almawarid offers 100 scans a month; beyond that, you can add your own Gemini key, which is free.
See the Purchasing module on your own business
Bring a real invoice from one of your suppliers to the demo, as a PDF or a photo: we import it in front of you, and you watch your stock and your purchase cost move.
