The delivery note travels with your goods to the customer, and it is often the missing piece when stock no longer adds up. With Almawarid Delivery notes, the note is numbered, signed, and it is the document that takes goods out of stock, at the moment they leave and on your confirmation.
Carbon pads and stock that drifts
At a wholesaler or a distribution depot, the driver leaves in the morning with handwritten notes. In the evening some come back signed, some crumpled, some not at all. Nobody knows exactly what went out, and the month-end stocktake reveals gaps that nobody can explain any more.
Invoicing is no better: the invoice is rebuilt from the pad, a line is forgotten, or the same delivery is invoiced twice. And when a customer disputes a quantity, someone has to dig through binders to find the note they signed.
The delivery note, the document that moves stock
In Almawarid, the delivery note is a document in its own right, numbered per year. You create it directly, or generate it from an invoice, a pro forma or a quote: lines are carried over, and if a note already exists for that document, the software sends you to it instead of creating a second one. The delivery note never counts in your revenue or your unpaid list: the invoice carries the tax side.
Stock never moves silently. The note first shows you, line by line, what is about to go out, and flags lines that match no tracked item. You choose the warehouse, you confirm, the goods go out, and a double click never takes them out twice. For an assembled product, its components are deducted. If you made a mistake, “Cancel the release” puts the goods back into stock and leaves a trace in the history.
One delivery, four gestures
- New delivery note: the customer by typing two letters, the items and quantities; or, from an invoice, the “Delivery note” button prepares it for you.
- Take these goods out of stock?: you choose the warehouse, check the lines, then confirm “Yes, take out of stock”.
- Print / PDF: the note prints on A4 with two signature boxes, yours and the customer's, and a QR code that opens the online version; the WhatsApp button sends that link to the customer.
- Convert to invoice: the delivered note becomes a tax invoice with the same lines, and the note stays intact in your history.
What you gain
- Stock that matches reality. Goods leave stock when they leave the building, from the right warehouse, and every release carries its note number.
- Disputes settled fast. The signed note, its QR code and its dated history answer the question “what did you deliver, and when?”.
- Accurate revenue. A delivery note is never counted as a sale: only the invoice enters your revenue.
- No duplicate notes. An invoice, a pro forma or a quote generates only one delivery note.
- Field work included. From a CRM prospect record, you prepare a delivery note in three steps, on a computer or a phone.
Who is it for?
Delivery notes serve every business that delivers goods: distributors, wholesalers, producers and building-site suppliers. They make the most sense with the Stock module, and with Multi-warehouse when goods leave from several sites.
- Food distributors and wholesalers
- Building-materials merchants
- Producers and processing units
- Industrial parts and consumables suppliers
- Beverage and cleaning-product distributors
Frequently asked questions
Can several delivery notes be grouped on one invoice?
Not yet. Today one delivery note produces one invoice with the same lines; grouping several notes on a single invoice does not exist yet.
Does changing the note's status move stock?
No, by design: setting a note to confirmed or cancelled does not touch stock. Only “Yes, take out of stock” and “Cancel the release” move quantities, with their trace.
Can delivery notes be imported from other software?
Yes, from an Excel or CSV file, with the Enterprise plan: lines sharing the same number form one note, and missing customers are created. Imported notes do not release stock: that remains a gesture on each note.
Do goods in transit need a delivery note?
Goods in transit should in principle travel with a document that identifies them; a numbered delivery note with the seller's and buyer's details plays that role. For your exact case, check with your accountant.
Can the note be printed in Arabic?
Not yet. The interface is bilingual, but the printed document carries French labels. Arabic printing is planned, with no announced date.
