A quote is won or lost well before the price question: on its presentation, on how fast it goes out, and on the follow-up call that happens, or does not. The Almawarid Quotes module helps on all three: a clear document in your colours, sent the same day, followed up until the answer, then turned into an invoice with no retyping.

The quote that was sent, then forgotten

In joinery, construction, installation or services, quotes are often written in the evening, in a spreadsheet or a Word template. They go out without a logo, with vague terms, sometimes with a wrong total because a line was copied twice. The customer compares with two competitors, and the least readable document is the first to be dropped.

Then comes silence. Nobody notes when the quote left or when to call back, and the customer who was hesitating signs with whoever followed up. When they finally accept, everything has to be retyped into the invoice, at the risk of changing a price or forgetting the agreed advance.

A quote that reads well, is tracked and converts

The Almawarid quote is numbered automatically and carries your logo, your details and your terms. For a job in several parts, you group lines into sections, such as structural work, joinery and fitting, with a subtotal per section; every line has its unit, and an introduction text presents the subject at the top of the document. The payment schedule splits the amount, advance on order, intermediate payment, balance on completion, and the screen warns you if the percentages do not add up to 100%.

Tracking starts when you send it: each quote has a status, draft, sent, confirmed or cancelled, and switches to sent by itself when you send it by email or WhatsApp. With the CRM, an issued quote puts the customer in your pipeline at the Proposal stage, with the document's real value, and schedules a follow-up three days later if none exists. When the customer accepts, “Convert to invoice” creates the invoice with the lines, sections, schedule and introduction text; the quote stays intact.

From estimate to invoice

  1. New quote: the customer picked by typing two letters, catalogue items at their price, sections, units, the VAT rate of each line and the validity date.
  2. Payment schedule: you add instalments as percentages, each amount is calculated, and the total must reach 100%.
  3. WhatsApp: the customer receives the quote number, the total, the validity date and a link to the online document; the quote switches to sent.
  4. Convert to invoice: one click when the customer says yes: the invoice carries everything over, and in the CRM the customer moves to Won as soon as the invoice is issued.

  • Follow-ups that actually happen. The three-day follow-up is created by itself in the CRM, and the “To do” list tells you whom to call today.

Frequently asked questions

Can the customer accept the quote online?

Not yet. They read the quote through the link they received, then reply to you; you then set the quote to confirmed and convert it into an invoice.

Can a quote become a customer order?

Not directly: a quote becomes an invoice or a delivery note. Customer orders are entered in the Customer orders module.

Can a quote be approved internally before it is sent?

Yes, with the Workflows module, available on request: the quote goes through an approval circuit, and the sign-offs are printed on the document.

Does the quote handle a retention guarantee?

Yes: a percentage of the pre-tax amount that changes neither VAT nor the total and shows a “Net payable”. It is carried over to the invoice on conversion.

What happens to the quote after the invoice?

It stays in the quotes list with its number; the invoice is a new document with its own official numbering.
