In the evening, the head of a construction company does not really know what happened on site: how many workers turned up, what progressed, which cement left the yard, and what the subcontractor will claim at month end. The Construction sites module of Almawarid connects the site to the office: the site manager fills in the report on a phone, and the office turns it into measurement records, progress bills and the real cost of each site.

Phone calls, WhatsApp photos and a spreadsheet at month end

On many sites, information travels by phone calls and WhatsApp photos. The daily report, when there is one, is a notebook that stays on site; material issue slips get lost between the yard and the truck; the attendance sheet is filled in at the end of the week, from memory.

When it is time to bill, you pay for all of it. The progress bill (the “situation de travaux” used in Algeria) is built in a spreadsheet from rough measurements, retention and advance recovery are calculated by hand, and the subcontractor presents a measurement record nobody can check. Late payments by the client add up, with no tracking of where the file stands.

The site enters, the office calculates

Each site has its record: client, address, wilaya (province), site manager, budget, dates, and weighted phases whose progress gives the site's overall progress. Every day the site manager fills in the report from a phone: headcount, work done, incidents, weather, progress per phase, photos taken on site and materials used. Each material declared leaves stock at weighted average cost and is charged to the site; an issue larger than available stock is refused.

In the office, each subcontractor has a measured contract (m², linear metre, m³, unit, day or lump sum) with advance and retention; measurement records are proposed, checked by the site manager, then approved, and every payment is capped at the balance due. On the client side, the progress bill is calculated by phase or by item of the bill of quantities (BoQ), imported from Excel, with retention, advance recovery, price revision and VAT. An issued bill is frozen, becomes an invoice and is tracked to payment: submitted, approved by the inspection office, signed by the client, paid.

How it works, in five screens

  1. Fill in today's report: the site manager enters headcount, work, weather, phase progress, photos and materials used; no prices are shown to them.
  2. Site attendance: the day's named attendance sheet: present, absent, half day, leave, sick and overtime; the manager validates the day and exports the month to Excel.
  3. Subcontractors: measured contracts, measurement records to check and approve, progress bills with retention and advance, payments, and the measurement statement printed for signature.
  4. Progress bills: the client's progress bill, by phase or on the BoQ, printed, exported to Excel for the BoQ, then turned into an invoice with “Invoice this progress bill”.
  5. Overview: one card per site: budget, spent, contract amount, billed, collected, latest report, supply requests waiting, safety and open snags.

What you gain

  • The site visible from the office. Today's report arrives with its photos, and a site with no report for two days is flagged.
  • A real site cost. Materials, purchases, expenses, cash spending and subcontractors add up on the site, against the budget.
  • Accurate progress bills, no spreadsheet. Retention, advance, revision and VAT are calculated on your quantities, and numbering runs without gaps, site by site.
  • Subcontractors paid on checked quantities. A measurement record goes through the site manager's check and the manager's approval, and exceeding the planned quantity is refused unless a waiver is ticked.
  • A complete file. Handover reports with snags, safety register, versioned plans and documents, assigned plant: everything stays attached to the site.

Who is it for?

The module is for construction companies, from structural work to finishing trades, and for developers who run their own sites. Its vocabulary is adjustable: in industrial maintenance, a site becomes an intervention site and the daily report an intervention report; in installation and technical services, you work with jobs and job managers. Unused sections can be switched off without losing data.

Frequently asked questions

Does the site manager need a computer?

No. The report and the attendance sheet are filled in on a phone, photos included. The site manager only sees their own sites, and no amounts.

Can we import our bill of quantities?

Yes, from an Excel file, with a preview before saving. Progress bills are then calculated item by item, and the BoQ locks as soon as a progress bill is issued.

Are retention and advance payments handled?

Yes, on client progress bills and on subcontract contracts alike: retention (5% by default, adjustable), advance recovery until fully repaid, and price revision. For the tax and accounting treatment of your contract, check with your accountant.

Does site attendance feed payroll?

Not directly: the month's sheet exports to Excel, with a tab prepared for payroll, which you then carry over. Automatic transfer into payslips does not exist yet.

Are delay penalties calculated?

No. Each site's delay is measured in days, against the end date and the expected progress, but no penalty is calculated.

Can we share the daily report with the client?

Not online: there is no public link or client portal. Documents meant for the client, progress bills, measurement statements or handover reports, are printed or saved as PDF from the browser.
