When a customer calls, you have a few seconds to know who they are, what they buy, at what price and what they owe you. The Almawarid Customers record brings it all onto one screen: tax identity, history, balance, negotiated prices and notes, found by typing two letters.

A notebook, a spreadsheet and the salesman's memory

In many companies the customer file is scattered: the tax number in a folder, the phone number in the salesman's mobile, negotiated prices in his head and the balance in the till notebook. The day he is away, nobody knows what price to charge the reseller from Sétif, or whether he paid his last invoice.

The cost shows up every day: a wholesale customer invoiced at the retail price, a forgotten discount, a duplicate created because the name was typed differently, an invoice sent back because the trade register number was missing. Every slip costs a margin, or a customer.

A record that knows everything, and follows you everywhere

Each record first says who the customer is: a business with a tax number, or an individual. For a business you enter the NIF tax number, the NIS statistical number, the RC trade register and the tax article; for an individual, the NIN from the national ID card is enough. You also set your trading terms: a price class if you switch them on (for example semi-wholesale, wholesale or reseller), special prices product by product that take precedence over the class, a default discount and a credit limit.

These settings follow you through the software: as soon as you pick the customer in a quote, a pro forma or an invoice, their prices apply and their discount is pre-filled, and the till charges them the same price as the office. The record also tells their story: invoices, credit notes, payments, the account balance, what they owe or the credit in their favour, and an activity feed where documents, payments and call notes follow one another in order.

The customer, in four screens

  1. New customer: business or individual, tax identifiers, address and phone; if the same tax number, phone or name already exists, the software shows it before you create a duplicate.
  2. Special prices: the products at a negotiated price for this customer; they come before the price class and the base price.
  3. Customer account: total invoiced, total collected and account balance, with Invoices, Credit notes and Payments tabs; drafts and cancelled documents never count in the balance.
  4. Activity feed: documents, payments, record changes and notes; the “Note” button keeps a memory of every call.

Frequently asked questions

Can we import our current customer file?

Yes, from Excel, with a downloadable template: name, phone, email, address, city, NIF, NIS, RC and AI. The customer list can also be exported to CSV.

How do I handle different wholesale and retail prices?

The owner switches on price classes in the company settings: each product gets a price per class, each customer a class, and that price applies at the till and on documents. A negotiated price on the record always comes first.

What if a customer goes over their credit limit?

The till refuses a credit sale that would exceed the limit. A limit of zero means no limit.

Is our customers' data protected?

Customer contact details and identifiers are stored encrypted in the database, and only your company can access them; the exemption certificate is a private file.

What is the Wholesaler box for?

It marks wholesale or reseller customers, who appear on the État 104, the annual customer statement prepared in the Accounting module. For your filing obligations, check with your accountant.
