“When was that due again?” When a team coordinates through calls and WhatsApp groups, deadlines slip without anyone noticing. Tasks get lost between messages and meetings

In a small business, a project often lives in a WhatsApp thread, a notebook and the memory of whoever launched it. An instruction given on Monday is forgotten by Thursday, a task waits for another one that nobody finished, and the customer calls to ask where things stand.

The manager then spends the day chasing: calling, asking, cross-checking. He knows neither how long each task really took, nor which ones will slip next week. Delay only becomes visible once it is already there.

One task, one owner, one date, one percentage

In Almawarid, a project has its customer, dates, budget and status. It is broken down into tasks, each with one or more assignees, a priority, a start date and a due date, estimated hours and a progress percentage. A task can depend on others: as long as they are not finished, closing it asks for confirmation, and a loop of dependencies is refused.

Project progress is calculated automatically, weighted by each task's estimated hours. Everyone records the time spent on their tasks, in hours and minutes. Deadlines change colour as the remaining time runs out, and a task ticked as “Reminder” sends an email the day before it is due to each assignee, or to the manager if nobody is assigned.

The screens of an organised team

  1. Urgent tasks & deadlines: as soon as you open Projects, the late or critical tasks, then those to watch, across all projects.
  2. My tasks: each member sees what is assigned to him and still open, sorted by due date.
  3. Kanban: tasks in three columns, to do, in progress, done, dragged from one column to the next; an employee sees only his own, the manager chooses whom to display.
  4. Gantt: for each project, one bar per task from start to due date, filled according to progress, with dependency arrows and overdue tasks in red; the view can be printed.
  5. Reminders: quick reminders outside any project, with their date and owner, such as renewing an insurance policy or calling a customer back.

Frequently asked questions

Is there a Gantt chart?

Yes: a Gantt per project, task by task with its dependencies, and a Gantt of all projects on the same timeline. It is not a capacity scheduling tool: it shows dates, progress and delays.

Can time spent be invoiced?

Not directly. Time spent is recorded and totalled per task and per project, but it does not turn into an invoice on its own: you carry it over into your invoice.

Do reminders arrive on WhatsApp?

No, by email, the day before the deadline. They also stay visible in the “Reminders” tab and in “My tasks”.

Does each person see only their own tasks?

In “My tasks” and in the Kanban, yes: an employee sees what is assigned to him. The manager chooses which person to display, or the whole team.

Can files be attached to tasks?

Not yet. Each project does keep its dated notes, for instructions and decisions.
