
Every quarter, the building manager rebuilds the same spreadsheet: the budget, each lot's share, the calls for funds, then the list of those who have not paid. The service-charge spreadsheet: right in the first quarter, wrong by the third
In a residence of twenty or sixty lots, the service-charge spreadsheet starts clean and degrades fast: one co-owner pays half, another settles two calls at once by cheque, a flat changes hands. By the third quarter nobody is sure what each owner still owes, and the general meeting is prepared the night before.
The split itself is a problem: dividing a budget by shares (tantièmes) produces cents that never add up, and the total called no longer matches the approved budget. Reminders go out when someone remembers, with no record of what was sent, and the formal notice is written by hand.
One call issued at once, balances you can read, reminders on record
You declare your buildings, their blocks and lots (flat, shop, parking space, cellar) with their floor area, their shares out of 10,000 and their co-owner, kept separate from the occupant when the lot is let. If the shares do not add up to 10,000, the screen flags it without blocking your entry. You open the financial year, enter the approved budget items and choose a key for each: shares, equal parts or floor area.
The call is split to the cent: leftover cents go to the lots with the largest remainders, so the total split is exactly the amount called. After a lot-by-lot preview, “Issue the invoices” creates one invoice per co-owner, with one line per lot. Payments go into the till, and the arrears table updates itself.
A quarter of building management, screen by screen
- Buildings and lots: the lots grid is filled in one go: block, floor, number, type, floor area, shares, co-owner and occupant.
- Budget items: the charges approved at the general meeting, item by item, with their key; the year screen sets the approved budget against amounts called, collected and spent.
- Prepare the call: period, due date, amount and key; the preview shows the lot-by-lot breakdown before “Issue the invoices” creates the invoices.
- Record a payment: cash, cheque or transfer, with a mandatory reference for non-cash payments; an amount above the balance due is refused, and the payment receipt prints at once.
- Who owes what: the balance due and the age of the debt per co-owner, exportable to CSV for the general meeting, with a button to record a payment or prepare a reminder.
What you gain
- No more spreadsheet to copy. The quarter's call goes out to every lot at once, and each co-owner receives their own invoice.
- Accounts to the cent. The split lands exactly on the amount called, even with shares that do not divide evenly.
- Readable arrears. Lateness is counted from the due date, a partial payment reduces the balance, and the dashboard flags debts older than 90 days and the collection rate.
- Reminders on record. Friendly reminder, firm reminder or formal notice, by WhatsApp, post or by hand: the text is suggested and editable, and every reminder stays in the co-owner's history.
- Spending per building. Each co-ownership has its own cost centre, where the purchases, stock issues and cash expenses linked to it are recorded.

Frequently asked questions
Are calls for funds sent to co-owners automatically?
No. Issuing creates one invoice per co-owner, which you print or share; no message goes out without your action. The WhatsApp reminder is prepared with a suggested text, and you send it yourself.
Can a charge be split other than by shares?
Yes: each budget item and each call has its own key, chosen between shares, equal parts or floor area in square metres.
Is the printed formal notice enough?
The document includes the breakdown and contact details and is signed by hand. Printing it does not prove it was delivered: for legal proceedings, work with your lawyer or a bailiff.
Does the module handle general meetings or an owners' portal?
Not yet. General meetings, contractors and incidents, building documents and an owners' portal are announced as next steps, with no date.
What if a lot is let?
You record the occupant next to the co-owner. Calls remain addressed to the co-owner: the occupant does not inherit the debt.
